How did the decision to introduce the digital signature come about?
The decision to introduce the digital signature was the result of long consideration and a continuous development process. We have been working on the topic of digitization and optimization of our processes for several years. When we came across sproof, a regional solution from Salzburg, we saw an opportunity to perfect our customer journey and provide a seamless experience for our customers. A survey of our customers also confirmed the interest in digital signatures, which was the deciding factor for implementation. Without the use of the digital signature, the customer would be sent into a manual process after closing, in which he would have to print out the rental agreement, sign it, scan it and then forward it to the tenant.
What criteria were decisive for you in your search for the right e-signature provider?
When selecting the e-signature provider, aspects such as data protection, regional proximity and technical feasibility were decisive for us. Since we attach great importance to personal contact with our partners and also prefer a regional solution for data protection reasons, sproof was the ideal choice for us. We were also impressed by the professionalism and competence of the team as well as the possibility of easy integration into our existing platform.
For which use cases is the digital signature used?
The digital signature is used at KURZZEiTmiete primarily for the signing of lease agreements between tenants and landlords. These include in 1. line the rental of accommodation for professional relocation, but also short-term accommodation for separated spouses or other temporary housing needs.
A prime example is the Vienna Philharmonic, which needs accommodation for one to two months during the famous Salzburg Festival. This is also where our business idea came from. In the meantime, however, KURZZEiTmiete is much more and larger than it was twelve years ago.
In most use cases, the landlord posts his accommodation independently on our website, including, text, images, videos, etc. Then the tenant comes to the other side and asks for the accommodation. From our side, the whole thing is then concluded, including the rental agreement, which is created automatically, invoicing and payment processing. The process of signing itself is as follows: first, a lease agreement is drawn up between tenant and landlord, which contains all the necessary data. This contract is then adapted to the user’s language and uploaded as a PDF document to sproof sign, which enables us to sign digitally. The software then sends a notification to the tenant, who is asked to sign the lease digitally. This can be done both by e-mail and directly via the completed reservation. Once the tenant has signed the contract, the landlord will receive an email notification asking them to sign as well. As soon as he has also signed, the digitally signed rental agreement is sent to both parties as an attachment and additionally signed in the detailed view of the reservation in the tenant or landlord account. After that, our part is done and tenants and landlords only have to get in touch to clarify the handover of the keys. sproof is invisible in this case, as we created the emails linked to the interface ourselves.

How did the integration of the cloud work?
The integration of the cloud into our company went smoothly. However, since we operate in an industry that has very specific requirements, it was important to find a signature solution that could meet these requirements. Sproof was able to do this and by working with an experienced programmer, we were able to use sproof’s interface documentation and adapt it to our individual needs. Special requirements such as fallback scenarios in the event that our server is unavailable, for example, had to be taken into account. Our programmer implemented these solutions to ensure that our signing process worked smoothly and met the specific needs of our customers. Thanks to sproof’s expertise and the flexibility of our team, we were able to successfully complete the cloud integration and streamline our workflows.

In our company, we attach great importance to data security and compliance with applicable data protection regulations.
